Free Landscaper Invoice Template

Landscaping businesses juggle two very different kinds of work: recurring maintenance like weekly mowing and one-off projects like planting beds, installing sod or a spring cleanup. Invoicing them the same way causes confusion. Recurring clients want a predictable monthly statement listing visit dates, while project clients expect labor, materials by the yard or plant and disposal charges laid out clearly against the estimate they accepted.

The sample shows a month for a residential client: four mowing and edging visits, mulch delivered and spread by the cubic yard, shrub planting and green waste removal. Change units to match how you price, whether per visit, per square foot or per hour of crew time. For seasonal contracts, note in the terms whether pricing covers a set number of visits or a fixed season.

FAQ

Should I invoice lawn care clients per visit or monthly?

Monthly invoicing with each visit listed is the norm for residential lawn care because it reduces admin for both sides. Some companies charge a flat monthly fee averaged over the season, which smooths cash flow when growth slows in late summer. Per-visit billing works better for occasional or on-call clients.

How do I bill for plants that don't survive?

If you offer a plant warranty, define it in writing, for example replacement within one year if the client followed watering instructions. When you replace a plant under warranty, add a zero-priced line so the replacement is documented. Outside warranty, bill the new plant and labor like any other planting job.

Do I charge for green waste disposal?

Yes, many landscapers do, since dump and green waste fees and the time to haul debris add up. Show it as a flat fee or per load. Including it as a separate line helps explain cleanup pricing and lets clients choose to keep clippings or branches on site to save money.
