Free Babysitter Invoice Template

Babysitting and nanny-share families appreciate a simple record of when you arrived, when you left and what rate applied. An invoice is especially helpful for regular sitters, for families who share costs with another household and for parents who may claim childcare costs through an employer benefit or dependent care account. Clear dates and hours make those claims straightforward, without awkward guesses about how late the night ran.

The sample includes standard evening hours, a higher rate after midnight, an additional-child charge and driving for school pickups. Tweak rates for your area and experience, such as CPR certification or special-needs care. For regular families, invoice weekly with each date listed. Whether childcare payments are tax-deductible or reportable varies by country and household, so families should check local rules.

FAQ

Do babysitters really need invoices?

For occasional evenings, families often pay on the spot. But regular sitters, nanny shares and families using a dependent care account or employer childcare benefit often need a written record of dates, hours and amounts. An invoice also helps you track your own income and spot unpaid hours if a family pays irregularly.

How should I charge for multiple children?

A common approach is a base hourly rate for the first child plus a few dollars per hour for each additional child. Listing the extra-child charge as its own line keeps the calculation transparent. For nanny shares, invoice each family separately for their share of the hours so nobody has to work out the split.

Can I charge a late cancellation fee?

Yes, if you agree on it in advance. Many sitters charge a portion of the booked hours, or a minimum amount, when families cancel within 24 hours, since you've turned down other work. Include the policy on your invoice and mention it when accepting regular bookings so it never comes as a surprise.
